WriteNote 1.6 supports all popular Web browsers and word processors on Windows, Macintosh, and Linux, provides full Unicode support as well as hundreds of import filters for popular bibliographic databases, and publishing styles for major journals. “WriteNote 1.6 represents a major evolution of our Web-based solution,” said David L. Unicode Support WriteNote 1.6 implements Unicode support to provide researchers with a standardized means of interchanging, processing, and displaying the written text of virtually every language. The Unicode Standard has been adopted by industry leaders including Apple, HP, IBM, Microsoft, Oracle, SAP, Sun, Sybase, and Unisys, and is supported by all modern browsers. Now students and researchers can cite references and create bibliographies for their papers using any language. Web-Based Research and Writing Tool WriteNote is a Web-based service that seamlessly integrates with library resources to help researchers organize references and write papers. Access to Online Library You will have access to your library as long as you are enrolled at your institution, your institution subscribes to the WriteNote service, and you sign into your account at least once within a 4 month period. If you do not sign into your WriteNote account within a 4 month period, you will receive an email informing you that your account will be closed. You will then have the opportunity to reactivate your account and/or download your library. Providing Access to Library to Others There are two ways someone else can access your WriteNote library: 1. If you provide your WriteNote user name (email address) and password to others, then they can access your library. 2. If you check the “Remember Me” option during the sign in process and do not sign out after completing your WriteNote session, anyone using that computer can access your library. Integrating WriteNote in Word To add the WriteNote toolbar in Word, follow these steps: 1. With Word open, click View from Word's main menu. 2. Click Toolbars from the available View options. 3. Click on WriteNote from the list of available toolbars. Removing WriteNote To uninstall WriteNote: 1. As a standard procedure, back up all important files. 2. Close all open windows for Microsoft Word, Internet Explorer, Outlook, and any other application that uses Word as the default editor or Internet Explorer as the default browser. 3. From the Start button, select Programs > WriteNote > Uninstall. 4. Continue with the Uninstall process until complete. 5. Upon completion, reboot your computer if prompted. WriteNote and Other Browsers When used without the plug-in, WriteNote is now compatible with all browsers. Access to WriteNote From Any Computer You can access your WriteNote library from any Windows computer with an authenticated IP address. Contact your local technical support about off-campus access. WriteNote and Mac Machines Although there is no plug-in for Word or Internet Explorer on the Mac, WriteNote can still be used on any platform without the plug-ins, and there is a plug-in for Mac users of Mozilla. Sending / Receiving References From Another WriteNote User The best way to share references is to use the Find Citation(s) command in Word (under Tools / WriteNote) to insert the references you wish to share into a Word document. Then send the document to the other user. He or she would then open the document in Word and use the Export Traveling Library command (under Tools / WriteNote) to export the references from the document to the Unfiled References folder in his or her WriteNote library. Exporting References From WriteNote 1. Check off each reference you wish to export and click the “Copy to Export List” button. 2. Click the Import/Export link in the upper left corner. 3. Click the “Export References” link. 4. Click the “Continue to Export >” button. 5. Select a bibliography and file format* for your exported references and then click the “Continue to Export >” button. 6. Now click the “Save to…”, “Email”, or “Preview and Print” button. Note: Choose “RefMan (RIS) Export” as the bibliography format and “TXT (plain text file)” as the export format if the file will be imported into a bibliographic database program such as Reference Manager, Endnote, or ProCite. The “Tab-delimited” format is good for importing into Access or Excel. Importing References Into WriteNote 1. Click the Import/Export link in the upper left corner, then click the “Import References” link. 2. On the Import page select the text file containing the references you wish to import using the Browse button. 3. Select the file type -- either “RefMan (RIS) Export” or “Tab-delimited.” 4. Click the Import button. All the references contained in the file are now imported into your library's Unfiled References folder. Importing References From Another Program Into WriteNote Reference Manager Export references in the RIS format to a plain text file. ProCite Export references in the Tab-delimited export format to a plain text file. EndNote Export references using the “RefMan (RIS) Export” or “Tab-delimited” output style to a plain text file. For Microsoft Excel & Access, consult the Excel and Access documentation for instructions on how to export to a tab-delimited text file. If you use the Tab-delimited format, additional changes to the text file are required before importing into WriteNote. For a text file containing references of a single reference type (e.g. all journal articles): 1. Open the tab-delimited file in a text editor such as Microsoft Word. 2. Insert a new line to the beginning of the file indicating the reference type of the references in the file. Type an asterisk, then the name of the reference type, then enter a carriage return. For example: *Journal Article<> 3. Insert a new second line into the file and type the reference type's field names separated by tabs. The field names must appear in the order that the fields appear in the text file. For example: Author <tab> Title <tab> Year <tab> etc. NOTE: The “<tab>” and “<>” characters are used to indicate where an actual tab and paragraph mark should be entered; the literal text “<tab>” and “<>” should not be typed. For a text file containing references of more than one reference type: 1. Open the tab-delimited file in a text editor. 2. Insert a new line to the beginning of the file. Type an asterisk, then the word “Generic”, then enter a carriage return. For example: *Generic<> 3. Insert a new second line into the file. Type “Reference Type” followed by a TAB, then type in the Generic field names, separating each field name with a TAB. The field names must appear in the order that the fields appear in the text file. Use the Generic field names, not the field names specific to the reference types. Now add the name of the reference type of the reference to the beginning of each line of data followed by a TAB. So your text file should now look something like this: *Generic <> Reference Type <tab> Author <tab> Year <tab> Title <tab> Secondary Title <> Journal Article <tab> Jones, J// Smith, S.<tab> 1994 <tab> Easy Pie <tab> J. of Eating <> Book Section <tab> Woo, W. //Lee, L. <tab> 1995 <tab> Rain Hats <tab> J. of Clothing <> Report <tab> Carlos, C.//Luis, R. <tab> 1991 <tab> Cat Talk <tab> J. of Animals <> PubMed References in WriteNote 1. Execute a search on the PubMed website and open one reference you wish to import into your library. 2. Click the Get Biblio button on the WriteNote toolbar. The reference will be imported into your library. Note that you can only import a single reference at a time into your library. Saving a Copy of Library You can save a copy of your library to a floppy, CD, your local hard drive, or a network share using the Export feature. 1. For each page of references you wish to save, click the "Check All" button then the "Copy to Export List" button. 2. Click the Import/Export link in the upper left corner, and then the “Export References” link. 3. Select the bibliographic style and file format. Then click the "Continue to Export" button. 4. Click the "Save to…" button. 5. Click the OK button in the File Download window with the "Save to disk" option selected. 6. Browse to the desired location and confirm the file name, modifying if necessary. 7. Click the Save button Inserting Citations Into Word You insert citations into your Word document using the WriteNote Find Citation(s) command. 1. Select the Find Citation(s) command from the WriteNote toolbar or Tools / Writenote menu. 2. Enter a search term to find the correct reference(s) to insert and click the Search button. 3. From the results listed, select the reference(s) to insert and click the Insert button. Remove citations using the Edit Citation(s) command instead of deleting directly from your document. 1. Highlight the citation in your document. 2. Select the Edit Citation(s) command from the WriteNote toolbar or Tools / Writenote menu. 3. In the Edit Citation(s) window, highlight the citation(s). 4. Click the Remove button and then the OK button. Changing the Format of Citations and Bibliography Click on the Format Bibliography command from the WriteNote toolbar in Word or from the Tools / WriteNote menu. Change the bibliographic output style in the style dropdown and click OK. WriteNote will reformat your citations and bibliography according to the new style selected. If you want to modify a citation to suppress and author name or date or add cited page numbers, use the Edit Citation(s) command. Searching a Library for a Reference You can search your library using the Web Library Search tool found on the left margin of the WriteNote site. Type a search term consisting of a minimum of three characters in the Search field. Spaces between words (that are not enclosed in double quotes) act as an OR operator. For exact phrases such as a title, enclose the phrase in double quotes. For a partial term, append the term with an asterisk (*) to indicate a wildcard search. Target Customers Although one could consider using this fine program on a home PC, WriteNote is really designed for use in machines configured in research centers or libraries. With the focus on research, the program will be best suited for use where there is a preponderance of research activities. Thus, all college and university libraries, and larger public libraries will want to seriously consider providing this important research tool to their customers.
